This policy explains what personal information we collect when you use the TOTEMIC website or subscribe to our products, why we collect it, who we share it with, and what rights you have over it.

TOTEMIC Products Ltd is the data controller. We decide how and why your data is used. The platforms we work with — Shopify, Klaviyo, Seal, and Gorgias — process data on our behalf as data processors.

By using our website or placing an order, you acknowledge this policy.

2. What Data We Collect

When you place an order or subscribe

To fulfil your subscription and manage your account, we collect:

  • Name and delivery address

  • Email address

  • Phone number (if provided)

  • Your selected Totem Blocks and goal preferences

  • Order and subscription history

Payment details are entered directly into Shopify's or Seal's secure checkout. TOTEMIC does not store, see, or handle your card or payment information at any point.

When you browse our website

Like most websites, ours automatically collects certain technical information when you visit, including your IP address, browser type, device type, pages visited, and how you arrived at the site. This is handled through Shopify's platform and standard analytics tools.

When you sign up for emails

If you subscribe to TOTEMIC communications — whether through a sign-up form, at checkout, or elsewhere on the site — we collect your email address and record the date and method of your consent. This data is stored in Klaviyo, our email marketing platform.


3. Why We Collect It

We only collect what we need. Here is what we use your data for:

  • Fulfilling and managing your subscription orders

  • Processing payments securely via Shopify and Seal

  • Communicating with you about your orders, account, or subscription

  • Sending marketing emails, where you have opted in

  • Improving our website and understanding how customers use it

  • Complying with legal and tax obligations

Our legal basis for processing your data is primarily the performance of a contract (your subscription), legitimate interests (running and improving our business), and consent (for marketing emails specifically).


4. Who We Share It With

We do not sell your data. We share it only with the third-party platforms and services necessary to run TOTEMIC, each of whom acts as a data processor under our instruction.

Shopify

Our store, checkout, and subscription management are powered by Shopify. Shopify stores your order and account data on secure servers. You can read Shopify’s privacy policy at shopify.com/legal/privacy.

Seal Subscriptions

Seal manages our subscription billing and renewal logic within Shopify. It processes order data on our behalf to manage your subscription cycle.

Klaviyo

Gorgias

We use Gorgias as our customer support platform. When you contact us for help, your name, email address, order details, and the content of your message are stored in Gorgias so our team can respond effectively. Delivery and fulfilment

We share your name and delivery address with our fulfilment and courier partners solely for the purpose of dispatching your order. They are not permitted to use this data for any other purpose.

Legal obligations

We may disclose your data if required to do so by law or in response to a valid request from a public authority.

 

5. Cookies

Our website uses cookies (small text files stored on your device) to help the site function, remember your preferences, and understand how visitors use it.

The cookies on the TOTEMIC site are set by Shopify and any analytics tools we use. They fall into three broad categories:

  • Order and subscription data is retained for 6 years in line with UK tax and accounting requirements.

  • Email marketing data is retained until you unsubscribe or ask us to remove it.

  • Website analytics data is retained in line with the default retention settings of the tools we use.

When data is no longer needed, it is securely deleted or anonymised.


7. Your Rights

Under UK GDPR, you have the following rights in relation to your personal data:

  • Right of access — you can request a copy of the data we hold about you.

  • Right to rectification — you can ask us to correct inaccurate or incomplete data.

  • Right to erasure — you can ask us to delete your data, subject to any legal obligations we have to retain it.

8. Marketing Emails

We only send marketing emails to people who have opted in. Every email we send includes an unsubscribe link. You can also unsubscribe at any time by emailing hi@wearetotemic.com.

Unsubscribing from marketing emails does not affect transactional communications relating to your order or subscription — we will still contact you when your order is confirmed, dispatched, or if there is an issue with your account.


9. Data Security

Your data is stored on secure, industry-standard infrastructure provided by Shopify and Klaviyo. Payment data is handled through PCI-DSS compliant payment processors and is never stored on our own systems.

We take reasonable steps to protect your data from unauthorised access, loss, or disclosure. No transmission over the internet is completely secure, but we take our obligations seriously and act quickly if we become aware of any issue.


10. Third-Party Links

Our website may contain links to third-party sites. Once you leave wearetotemic.com, this policy no longer applies. We are not responsible for the privacy practices of other websites and encourage you to read their policies.

We may update this policy from time to time to reflect changes in our practices or legal requirements. When we do, we will update the date at the top of this page. Material changes will be communicated to active subscribers by email.
